Equipment List for Keynote Address

1. Microphone:

o

Cordless Headset or Lapel microphone, with fresh batteries.

o

Cordless, handheld radio microphone as a back up, with fresh batteries.

o

Failing either of the above, we can get by with a microphone on a very long cord, allowing free movement across the entire width of the stage (or the front of the room).

2. Data / Video Projector:

I carry my own laptop, and run Microsoft PowerPoint (version 2000). I also carry my own cordless radio mouse - if your technicians are concerned that the frequency may interfere with any of their other equipment, then please provide a cordless radio mouse - please also ensure that the driver for the mouse, CUT TO CD, and not on floppy disk, is available for installation on my computer. Please note that I insist on having control over the laptop, rather than having the presentation run by the technician/s - please let's refrain from debate on this: some 1,000 paid presentations later I have found that this works best for me, and ultimately works best for your audience. Therefore, the laptop needs to be set up at the lectern / podium. This means that the cabling from the laptop to the data projector needs to be run to the lectern, and not to the technical desk - this may necessitate the installation of a booster if the cable is very long. Please ensure that the data cable is tested with another computer prior to my rehearsal. There should also be an 220V electrical power point source at the lectern (I carry my own international plug adapters). Obviously we will also require a screen. For large audiences, multiple projectors / screens are advisable.

3. Backup Computer:

It is advisable that your set-up allows for multiple computers to be linked to the data projector/s, and that you install a backup computer, with a CD drive, (laptop or PC) at the technical desk. I will provide a copy of my presentation on CD, for installation on the backup computer (we will do this during the rehearsal). This computer should have 200 meg of free disk space to allow for the installation of my presentation on its hard drive. During my presentation, the technician then advances his/her copy of the presentation (on the backup computer) in time with me. Should my laptop go down, we simply switch the feed-in to the projector over to the backup computer. I will then "relinquish control" - heaven forbid! - and rely on the technician to run the rest of the presentation. REST ASSURED that I am not computer dependant -I am perfectly able to deliver without the aid of a visual presentation, should both computers crash. The visuals are merely for added impact.

4. Sound From Laptop:

I also play music and sounds (licensed, of course!) from my laptop. This requires a sound cable to be run from the lectern (where my laptop will stand) to the sound desk. The sound output socket on my laptop is a "mini jack". Sound will also need to be run from the backup computer. Please ensure that the sound line is tested prior to my rehearsal to ensure that it is free of feedback or a hum.

5. VHS PAL Video:

I also play video from my laptop. But this technology is prone to complications - and therefore I will provide a copy of the video footage on a VHS video, in PAL format. This will necessitate the installation of a video playback machine, linked to the data projectors and to the sound system. This can be installed at the technical desk.

I know that this sounds very demanding - please assure your technical team that I am easy to work with. Also, any technician worth half his salt will be insulted by the obvious detail - I write in detail only to help your team to understand my specific needs, and to ensure a glitch-free set up. Please assure the technical team that we will "wing" it together on the day - no technical hitches on the day (apart from the microphone system and house lights) will stand between us and a spectacular presentation.
